Should I build custom or buy off-the-shelf software?

Buy off-the-shelf when your process is standard (billing, basic CRM, standard appointments) and a mature product with GST and UPI support exists. Build custom when your workflow is your advantage – multi-branch pricing, dealer margins, kitchen-to-delivery tracking, compliance registers no product handles – or when subscription and staff-workaround costs over two years exceed the build cost. The test: if you must change how your business runs to fit the software, price the custom alternative before signing.

What does off-the-shelf really cost?

Count per-user per-month fees times staff times 24 months, plus setup, data migration, training, and the add-ons that make the base plan usable (SMS packs, WhatsApp connectors, extra branches). A “Rs. 999 per month” tool for 8 staff with two add-ons crosses Rs. 3 lakh in two years – before the Excel workarounds it still requires. Cheap subscriptions compound; do the 24-month math on paper before comparing with a build quote.

What does a custom web app really cost?

Custom apps for SMEs typically start around Rs. 80,000 for a focused tool (one workflow, few roles) and rise with branches, roles, reports, integrations (UPI, SMS, WhatsApp API, Tally) and mobile needs. Who owns the data and code?

With subscriptions, assume your data exports partially – test the export before you commit 2 years of records to any platform.

What are red flags in app quotes?

  • No discovery phase – quote given in one meeting for a “complete ERP”.
  • No mention of GST, UPI, roles, backups or who owns code.
  • “Unlimited changes” promised with no change-request process.
  • No staging demo milestones – big-bang delivery after 4 months.
  • Maintenance undefined: who fixes bugs in month 7, and at what cost?
