Why does business email on your own domain matter?
Domain email proves you own a real business, improves quotation and invoice credibility, keeps staff mail (accounts@, support@, careers@) organised under one roof, and survives staff changes – the address stays, the person changes. Gmail addresses also trip spam filters more often on bulk quotations, while properly authenticated domain mail (SPF, DKIM, DMARC) reaches inboxes reliably.
Which email option should you choose?
- Hosting-included mail: free with most Hostinger plans, fine for 1 to 3 mailboxes with light use. Webmail plus phone setup. Deliverability is decent once SPF/DKIM are set, but storage and search are basic.
- Google Workspace: around Rs. 1,500 to Rs. 2,500 per user per year (check current India pricing), best search, spam filtering and Drive integration. Right when mail is your office.
- Microsoft 365: similar per-user pricing, natural fit if you live in Excel and Outlook.
Rule of thumb: under 3 light mailboxes, hosting mail is fine. Over that, or when quotations carry attachments daily, pay for Workspace or 365 – one lost order costs more than a year of mail.
How do you set up domain email without breaking your site?
One, create mailboxes before touching DNS. Two, add MX records pointing to your mail provider, plus SPF, DKIM and DMARC for authentication. Three, send test mails to Gmail, Yahoo and a phone hotspot – check spam placement. Four, update website forms to send from an address on the same domain (prevents silent form-mail failures). Five, set phone and desktop clients with app passwords where needed, and store recovery codes. Do mail moves on weekday mornings, never before a quotation deadline.
What mistakes kill business email?
Mixing website host mail with Workspace MX records (half the mail vanishes), forgetting SPF when the website sends order alerts (all alerts to spam), no DMARC (lookalike domains spoof your quotations), and one shared password across five staff (change it once and everything breaks). Map records on paper first; ten minutes of mapping saves ten days of “did you get my mail?”
